Club Status Definitions
These terms describe the different stages of a TOP Networking club:
a) Planned – A club idea that is in early planning. It has no members yet and no meetings have started. It is shown on the map as a potential future club.
b) Formation – A club that is in the process of being set up. It has fewer than 12 members, may already be holding meetings, and has a development committee supporting its growth. It is advertised on the map.
c) Active – A fully established club with 12 or more members. It runs regular meetings and is open to visitors and new members.
d) Closed – A club that has officially stopped operating. This includes clubs that were active or in formation but are no longer running.
What does club status mean for prospective members?
If you are thinking of joining a TOP Networking club, the club’s status helps you understand where it is in its journey. ‘Planned’ clubs are not yet meeting, but you can register your interest. ‘Formation’ clubs are growing and welcome early members who want to help shape the group. ‘Active’ clubs are fully up and running with a full schedule and established membership. ‘Closed’ clubs are no longer available to join.
Can I visit a club during its Formation stage?
Yes, clubs in Formation are open to visitors. Attending during this stage can offer extra opportunities to influence how the club develops and build strong early relationships. These clubs may have fewer members, but the networking can be just as valuable.
Will my membership be affected if a club closes?
If a club closes, existing members will be contacted by TOP Networking and given the option to transfer to another nearby club, pause their membership, or end it. Every effort is made to minimise disruption and provide ongoing value to members.
Are clubs shown on the website always running?
Not necessarily. Clubs listed on the map may be Planned, in Formation, or Active. Each listing will clearly show the club’s current status so you know what to expect before visiting or applying to join.
Who decides when a club changes status?
The status of a club is managed by the Regional Director and the TOP Networking leadership team. Changes are based on membership numbers, activity levels, and long-term viability. The website is regularly updated to reflect current statuses.
Types of Meetings at TOP Networking
TOP Networking offers a variety of meeting formats to suit different schedules and preferences. Each format follows a structured approach proven to help members build relationships and generate business:
a) Breakfast Club – Held before 10:00am, these meetings run for 1 hour and 45 minutes. They follow a consistent structure focused on meaningful networking and business referrals.
b) Brunch Club – Scheduled to start between 9:30am and midday, these meetings also run for 1 hour and 45 minutes and follow the same structured format as our Breakfast Clubs.
c) Evening Club – These take place after typical working hours, but usually start between 4pm to 6pm, and last for 1 hour and 30 minutes. They are ideal for business owners and professionals who prefer to network outside daytime hours.
d) Events (one-off) – These are occasional special events designed to encourage interaction and build the business community. They are often social in nature and may be connected to charity fundraising or local causes.
e) Virtual Meeting – These online meetings are hosted via platforms such as Microsoft Teams, Zoom or Jitsi. They last 1 hour and 30 minutes and follow the same structured format to help members connect and grow their businesses.
f) Netwalking – A blend of walking and networking, these informal sessions last 1 hour and 45 minutes and encourage relaxed conversation while enjoying the outdoors. They still follow a structured approach designed to support business development.
Use of Online and Alternative Meeting Formats
Online meetings may be included in a club's schedule as an alternative to face-to-face meetings. These are particularly useful when travel is disrupted, weather is poor, or when members need a more flexible option. While in-person networking remains at the heart of the TOP approach, we recognise that occasional virtual or alternative formats can add value in specific situations.
Meeting Fees and Attendance
All meeting types—whether in-person or online—carry a Meeting Fee. Members are encouraged to attend their chosen clubs regularly, arrive 15 minutes early for open networking, and stay after where possible for informal conversations.
Meeting fees are based on cost incurred by Venue and TOP Networking merely processes the fee from venue. We review and negotiate this regularly. It is required to be paid in advance of meetings and so do check its costs before meeting before attending and ensure paid in advance.
Additional Notes on Meeting Participation
Most clubs meet every two weeks, creating a steady rhythm that helps members build consistent and supportive relationships.
All attendees—members and visitors—must book in advance. Late cancellations or changes may be subject to each club’s specific cancellation policy.
Visitors are always welcome and encouraged to attend once or twice before deciding whether TOP Networking is the right fit for them. After that, they may be invited to apply for membership.
All participants are expected to behave professionally, contribute positively to the group, and respect the time and input of fellow members. Creating a welcoming and business-focused atmosphere is at the heart of every meeting.
Diversity and Inclusion at TOP Networking
TOP Networking Limited is committed to fostering a business community built on fairness, respect, and inclusion. As a franchise-based organisation, this commitment applies across our head office, all franchisees, club leaders, third-party suppliers, and every club within our network.
We actively welcome members and visitors from all backgrounds. You are welcome at any TOP Networking club regardless of your gender, age, ethnicity, race, sexual orientation, gender identity, disability, neurodiversity, religion, or socio-economic background. Our aim is to ensure that all members and visitors feel respected, heard, and able to contribute fully.
Diversity is not only a principle of equality; it is a strength that adds value to every conversation, partnership, and opportunity within the network. We encourage all current members to help us uphold these values by:
- Welcoming new people from a wide range of backgrounds and professions
- Inviting individuals from small and large businesses alike
- Encouraging guests from underrepresented communities within their own networks
Club-Level Inclusivity and Representation
Each TOP Networking club is encouraged to reflect the demographics of its local business community wherever possible. If a club is identified as not being representative of its surrounding area, positive steps are taken to address this.
This may include localised promotional efforts to raise awareness among underrepresented groups, outreach to diverse business networks, and encouraging existing members to make inclusive invitations. These efforts are proactive, respectful, and designed to build clubs that reflect the richness of the communities they serve.
Equal Access and Accessibility
TOP Networking strives to ensure all meetings and events are accessible to everyone. If you have any specific needs or access requirements, please inform your local club leader or regional director before attending. We’ll always do our best to accommodate you and create a comfortable, inclusive environment.
Behaviour and Expectations
All members, visitors, and guests are expected to behave in a respectful and inclusive manner at all TOP Networking events and interactions. Discrimination, exclusion, or inappropriate conduct will not be tolerated and may result in removal from a club or the network altogether.
Raising Concerns
If you experience or witness behaviour that goes against our commitment to diversity and inclusion, we encourage you to report it confidentially to your regional director or the TOP Networking head office. All reports will be treated seriously, with respect and discretion.
Attendance at TOP Networking Meetings
Regular attendance is a key part of making the most of your TOP Networking membership. Each club holds scheduled meetings at a designated venue, and all dates, times and locations are shared in advance via our website and member communications.
We ask all members to prioritise these meetings as part of their regular business calendar. Consistent attendance helps build trust, strengthens business relationships, and supports the energy and effectiveness of the club. While we understand that business commitments or personal matters may occasionally prevent attendance, we ask members to treat their networking commitment seriously.
What to Do if You Can’t Attend
If you're unable to attend a meeting, at the earliest opportunity please log onto the TOP PORTAL and notify on the relevant meeting you are unable to attend. A club administrator will pick this up. If unable to get to systems let the club administrator know. Ideally at least 48 hours in advance so that venues can be informed to avoid food waste and visitors who are coming to meet you are made aware. This helps the leadership team manage the meeting and ensures a professional experience for all.
The TOP PORTAL has been uniquely designed that if you are able to give 7 days’ notice it will also save the cost of the meeting reaching you as good will for early notification. This is automatic and so will not charge on the TOP Passport for the meeting (which is normally approximately 4 days before the meeting.
If you can’t attend, we strongly encourage one of the following:
a) Send a substitute – You may nominate someone to attend in your place using the TOP Portal. They are welcome to present both your business and their own. If they do, your attendance will be marked as present (But SUBSTITUTED) for that meeting and the substituted guest will enjoy your breakfast and represent themselves and your business. .
b) Ask another member to read your 60-second pitch – At a minimum, you may request a fellow member to deliver your pitch on your behalf.
Both options help keep your business visible in the room and maintain your active presence in the group.
Bringing Guests and Visitors
Visitors are always welcome and are an important part of the club’s energy and growth. If you plan to bring a guest, please ensure they are booked in advance using the TOP Portal or by notifying a club leader if unable to use the systems. This allows us to welcome them properly and ensure they have all necessary materials for a great experience.
Assumed Attendance and Invoicing
Unless you have advised otherwise 7 days in advance, it is assumed you will attend all scheduled meetings, and venue will be paid for member attendance. This is not refundable as the process is automatic. If you do not attend and no notice is given, any costs incurred (e.g. venue or catering) will still be invoiced to you as a member. This process of automation is a strong reasons as to why we can negotiate the lowest meeting fees in the UK.
Ongoing Attendance Requirements
Regular participation is part of the mutual commitment between you and your club. If your attendance falls below 70% over a six-month period, or if you miss three consecutive meetings without valid and agreeable reason, the club leadership team, together with the Chair and Regional Director, may review your place in the group. In some cases, you may be asked to step aside so that another business owner can take the opportunity to participate.
There is substantial research on attendance in the public domain that shows regular poor attendance is incredibly damaging to group dynamics and club success.
Extended Absences
If you anticipate being away for an extended period, you must inform your Club Chair or Regional Director as early as possible. It can be handled with planning and there are many reasonable reasons for this. Decisions on whether to hold your place open will depend on the circumstances. Membership fees will continue to apply and are non-refundable during this time unless explicitly agreed in writing.
Health and Safety Requirements
It is each member’s responsibility to follow any health, safety, or venue-specific protocols that are in place. Failure to comply with these requirements may result in temporary suspension from meetings or termination of membership in serious cases.
Exclusivity of Club and Membership
TOP Networking is built on the principle of local exclusivity—to help our members stand out in their area and maximise business opportunities without competition within their immediate club environment.
Club Location and Territory Exclusivity
Each TOP Networking club is generally the only club operating in its town or local area. This ensures that every club has a clearly defined territory, giving members strong local presence and visibility.
Clubs are typically not established within three miles of another. However, the Regional Director has discretion to approve new club locations in certain cases, such as:
- Clubs operating at different times (e.g. a Breakfast and a Brunch Club)
- A venue that strongly supports multiple groups and promotes them well
- Large towns or cities where different zones can reasonably support distinct clubs
Any exceptions must be formally approved by the TOP Networking head office and documented, with a clear reason provided.
Member Business Category Exclusivity
Each member holds the exclusive right to represent their specific business category within their chosen club. This means:
- No other member or visitor may promote the same category in that club
- New applicants whose business overlaps with an existing member may only join with that member’s written consent
- Visitors representing a duplicate category may be declined attendance unless the Regional Director, with club input, agrees there is no conflict
Good Judgement and Reasonable Exceptions
While category exclusivity is respected, practical exceptions may be considered where two members offer clearly distinct services. Examples include:
- A Commercial Solicitor and a Family Solicitor
- A Printer and a Promotional Merchandise supplier
Such decisions are made with input from the Regional Director, club leadership, and affected members—always aiming for fairness and the long-term benefit of the club.
Evening Clubs – A Notable Exception
Evening Clubs operate differently. They do not have formal members representing categories. Instead, they are open events supported by sponsors, who receive enhanced visibility and promotional opportunities.
There is no category exclusivity in Evening Clubs. These sessions are designed to celebrate and promote the regional network as a whole. However, sponsors benefit from unique branding and engagement not extended to general attendees.
Supplementary Notes on Exclusivity
Changing Business Focus – If a member’s business evolves during their membership and begins to cover new services or a different category, the Regional Director will review any impact this may have on other members. Members may only represent one category per club at any given time and cannot claim multiple categories or block others from joining under different categories. A category change is not guaranteed and must be assessed in light of the club’s balance. Changes during a membership period will incur administration fees of £25, as marketing investments have to be reinstructed. However if changed on membership renewal into a new term the administration fee are not needed to be incurred.
Multi-Club Attendance – Members may visit or sponsor other clubs. However, category exclusivity applies only where a member holds active membership in a club and no category conflict exists. TOP Networking does not encourage joining multiple clubs. It is a rare exception and only approved when it benefits the wider network. Studies show that attending too many similar clubs can weaken—not strengthen—the community, and we prioritise depth of engagement over volume.
Dispute Resolution – In the rare event of a disagreement about category overlap or exclusivity, the Regional Director will mediate first. If the issue remains unresolved, the TOP Networking head office will make the final decision. All outcomes will be guided by what is best for the community and the long-term values and ethics of the wider network.
Punctuality
At TOP Networking, punctuality is more than just good manners—it is a vital part of the professional culture we aim to create across all our clubs. The credibility and reliability of our members are reflected in how they show up, support one another, and contribute to the flow of each meeting.
Every member plays a role in ensuring meetings run smoothly and start on time. Arriving late disrupts the atmosphere, affects first impressions for guests, and can limit the opportunities for both informal networking and structured introductions.
We kindly ask all members and visitors to arrive between 5 and 15 minutes before the scheduled meeting time. This allows time for relaxed open networking and ensures that meetings begin promptly and professionally.
Ongoing Punctuality Issues
While occasional delays are understandable, repeated poor punctuality—especially when left unaddressed—can negatively affect the club dynamic and fellow members' experience.
TOP Networking reserves the right to address persistent lateness directly with the member concerned. If punctuality issues are not resolved over a reasonable period of time, and the member continues to disrupt meetings, they may be formally asked to step down from the club. This will be handled with fairness, but with the needs of the wider club in mind.
Supplementary Notes on Punctuality
- Visitor Experience – Guests often decide whether to join based on their first visit. A punctual start, with a full and present room, sets the right tone and demonstrates the professionalism of the group.
- Attendance Recording – Members arriving significantly late may not be recorded as having attended, particularly if they miss their speaking slot or key parts of the meeting.
- Communication – If you know in advance that you may be late, please inform the club administrator or Chairperson so it can be accounted for discreetly. Regular, open communication is always appreciated.
Membership Transfer within the Network
TOP Networking is a growing, dynamic business network where clubs evolve over time. Changes in membership composition, meeting locations, or club structure may occur. In some cases, a transfer of membership may be necessary to ensure that members continue receiving value while protecting the network's integrity and balance.
Transfers Due to Club Closure or Restructure
Clubs may occasionally close or merge for various reasons, including:
- Long-term attendance issues
- Venue unavailability
- Regional restructuring
- Shifts in local demand or leadership
- Unforeseen external factors
When this happens, TOP Networking will offer affected members a transfer to another suitable club at no additional cost. The remaining membership duration will be honoured in full at the new club.
We will always propose the nearest appropriate alternative(s) based on:
- Location and travel time
- Category availability
- Preferred meeting time (e.g. breakfast, brunch, evening)
Members are encouraged to suggest alternative clubs if they have specific preferences, provided there is category space. If a member declines all available and reasonable transfer options, this will be treated as a resignation from the network.
In the rare event that surplus funds remain following a club closure, and all obligations have been met, TOP Networking reserves the right to donate those funds to a local charity that has been a member of the network for over 12 months.
Voluntary Transfers Between Clubs
If a member requests to transfer to another club for personal or business reasons (outside of club closure), the following applies:
- A £25 + VAT administration fee will be charged
- The transfer must be approved by the network head office
- If the member has less than 6 months remaining on their membership, they will be asked to extend their membership by a further 12 months upon transfer, as a gesture of goodwill to the new club and to support proper integration
- In these cases, the member may be required to renew their membership in full, with the remaining time added to a new term
If the transfer involves clubs operated by different franchisee territories, mutual agreement must be reached between the relevant Regional Directors or Franchisees. Each request will be reviewed on a case-by-case basis to ensure consistency and fairness. The membership runs to completion in the new club as normal and renewal is where the new club membership charges. The new Franchisee does not get rewarded during a current membership period and only on renewal time has passed. If any membership fees are paid before this period Head Office will have in a holding account. This is to ensure Franchisees respect and work with each other, and members also do the right things for the community.
Transfers are not guaranteed and need to be approved by Franchisees and Head Office in all cases. Transfers will be declined is members are seen as failing in their basic performance. We will not transfer a poor performer (looking at IDEAL Member requirements) from one club to another.
Transfers Between Individuals in the Same Business
Membership of TOP Networking is held personally, not corporately unless explicitly stated from outset. It is therefore not automatically transferrable from one individual to another, even within the same business. However we will not block this process unless there is detrimental effects from the transfer.
However, if a member leaves their role and their business wishes to nominate a replacement representative, this may be considered on request. Approval is not guaranteed, and the following conditions apply:
- A £25 + VAT administration fee may be charged
- If the original membership has less than 6 months remaining, the business may be asked to extend by 12 months as part of successful onboarding at the new club.
Each case will be reviewed individually, taking into account club dynamics, category integrity, and fair treatment of existing members.
We seek long term members so will not consider a change of personnel simply to run out a membership period. The replacement needs to be seeking long term promotion and support from the club.
Club Structure
TOP Networking operates as a structured and professionally managed business networking organisation. To maintain high standards, sustainable growth, and long-term member value, certain decisions relating to the running of clubs are made centrally by the TOP Networking Directors and local leadership teams.
Authority and Club Management
The TOP Networking Head Office, in partnership with Regional Directors and Club Chairs, holds the authority to:
- Launch new clubs or restructure existing ones
- Suspend, postpone, or close clubs and meetings if necessary
- Merge clubs where it is deemed beneficial to the network
- Adjust venues, meeting times, frequency, and designated club days
These decisions are made in response to evolving business needs, member feedback, local logistics, and regional opportunities. While the organisation retains final decision-making authority, we place strong value on collaboration and transparency.
Member Involvement and Consultation
Before any significant changes are made to a club—such as venue shifts, day/time alterations, or potential closure—all affected members will be consulted. Their feedback will be considered carefully as part of the decision-making process.
Our goal is to always act in the best interests of both the individual club and the wider network, ensuring the integrity of each group while supporting long-term sustainability. It is rare to not have a positive alternative and reasonable outcome when changes are needed in a club..
Supplementary Notes on Club Structure
- Continuity and Notice – Where possible, members will receive advance notice of any changes to club structure, venue, or schedule to allow for smooth transitions and uninterrupted attendance.
- Right to Appeal – If a member feels adversely affected by a structural change, they may raise the matter with their Regional Director, who will review concerns and, if necessary, escalate it to the Head Office for further review.
- Mergers and Closures – When a club is merged or closed, every effort will be made to offer affected members a suitable transfer to another nearby club, protecting their category and maintaining their membership benefits (see Membership Transfer section).
- Leadership Continuity – Club Chairs and leadership teams may change from time to time. Any such changes will be managed to maintain consistency, professionalism, and club culture.
Membership and Renewal
Membership in TOP Networking is granted on an individual basis and is non-transferable by default. Corporate or group memberships are not offered. Each membership is tied to the named individual at the time of joining, who is typically the business owner or their senior representative.
Requests to replace the named member with another individual—even from the same business—will only be considered in exceptional circumstances and must be approved by the Regional Director or Head Office. Approval is not guaranteed and may involve additional fees or conditions (see Membership Transfer section).
At the end of the annual membership term, TOP Networking will invite members to renew where appropriate. However, membership renewal is not automatic or guaranteed. We reserve the right to:
- Decline renewal if it is deemed not in the best interest of the club or network
- Offer renewal with updated terms, conditions, or expectations
- Suggest a different club or networking approach based on suitability
Members will be given appropriate notice before the end of their term to allow time for renewal discussions.
Behaviour and Attendance Standards
All members of TOP Networking are expected to uphold high standards of professionalism, reliability, and respect. Our clubs thrive when members contribute positively to the culture and reputation of the group.
Unacceptable behaviour may include (but is not limited to):
- Disrespectful or disruptive conduct toward fellow members or guests
- Repeated failure to deliver agreed-upon services
- Providing low-quality or misleading products
- Breaches of confidentiality or trust
- Any behaviour that harms the integrity of the club or the TOP Networking brand
If complaints are received or concerns are raised, the Regional Director will conduct a fair and discreet review. Where appropriate, the member may be given an opportunity to respond or improve. However, TOP Networking reserves the right to suspend or terminate membership with immediate effect if behaviour is deemed incompatible with the values of the network.
Similarly, poor attendance—including consistent no-shows, lateness, or lack of engagement—can affect the club dynamic and member experience. If attendance levels fall below expected standards (see Attendance section), the member may be removed from the club.
Important: In all cases, membership fees are non-refundable, including where membership is terminated for behavioural or attendance-related reasons.
Supplementary Notes on Behaviour
- Right to Appeal – Members may request a review of any decision to remove or not renew membership by contacting their Regional Director. Appeals will be considered fairly but with the network’s wider interests as the priority.
- Data Accuracy – Members must keep their contact information and business details up to date in the TOP PORTAL. Outdated or incorrect information can lead to missed communications or membership issues.
- Brand Protection – Members are expected to represent TOP Networking positively in all business dealings and online conduct. Misuse of the brand or misrepresentation of association may result in membership termination.
Membership Renewal and Visiting Other Clubs
TOP Networking operates on the principle of category exclusivity, where each club allows only one member per business category. This ensures that members can collaborate openly and confidently without direct competition in their meetings.
Membership Renewal
Membership is offered for a 12-month period and is not automatically renewed, but we do seek long term members. Renewal is by invitation, based on:
- Attendance record and engagement
- Behaviour and professionalism
- Alignment with club values and culture
- Contribution to the success of the group
TOP Networking and the local leadership team reserve the right to decline a renewal if it is not in the best interest of the club or the network as a whole. Members will be informed in good time and, where appropriate, supported in finding an alternative opportunity within the network.
Visiting Other Clubs
While we encourage members to engage with the wider network, there are clear guidelines in place to protect club integrity and member exclusivity.
- A member may only hold formal membership in one club at a time (with few exceptions and only by explicit agreement)
- Visiting other clubs is encouraged as one-offs where there is no category cross-over but it cannot be regular to the same clubs and must be authorised by the Regional Director
- Clubs must approve all visit requests in advance, especially when a visitor’s business category is already represented
- Visiting another club does not grant business exclusivity or representation in that club, you are a guest of that club.
- Every club is autonomous from each other and seeks new members. With ultimate decision to the Regional Director (Franchisee)
Clubs always appreciate visitors from across the network, but they must ensure that visits do not create category conflicts or confusion. Members should not attend another club without first confirming their visit is appropriate. You will be welcome with the above understood.
Popular Categories and Limitations
Some business categories—such as Financial Advisers, Accountants, Marketing Professionals, and Solicitors—are in high demand and often already represented in multiple clubs.
As a result:
- Visiting opportunities may be limited due to few clubs with open seats
- Entry into another club as a visitor may be declined if a category conflict exists
- Members in these fields are encouraged to consult their Regional Director for guidance
- Please note we want to find you wider network experience and will try and work a solution if you want to tour.
Supplementary Notes of Visiting Other Clubs
- Temporary Exceptions – In rare cases, temporary cross-club visits may be permitted for special events or mutual collaboration, but these must be arranged through the proper channels.
- Evening Clubs – They are designed for visitors and have no exclusivity.
- Respecting Local Culture – Each club has its own rhythm and environment. Visiting members are expected to follow the hosting club’s rules and etiquette and support the local leadership in maintaining a positive experience for all.
- Repeated Unauthorised Visits – Members who repeatedly visit other clubs without approval, or attempt to promote their services where a conflict exists, may have their membership reviewed by the Regional Director.
Promotion of Business Category
TOP Networking membership is based on exclusive representation of a single, clearly defined business category within each club. This ensures a fair and focused networking environment, where each member can confidently promote their business without competition from others in the same field.
When you join a TOP Networking club, your membership is granted on the understanding that you will only promote the business category agreed upon at the time of joining. This applies during meetings, at networking events, and in any interactions with fellow members both within and outside the club environment.
If a member is found to be promoting products or services outside their agreed category, they will be asked to stop immediately. If they continue after being warned, their membership may be terminated without refund. This rule protects the integrity of the club and the trust between members.
Multi-disciplinary Businesses
TOP Networking recognises that some businesses—such as law firms, accountants, or consultancies—may offer services across multiple disciplines. In these cases, there are two options for representation:
- Separate Memberships – The business may apply for multiple memberships, with each discipline represented by a different individual (e.g. one membership for commercial law, another for family law). Each representative must attend in their own right and hold exclusivity in their chosen category.
- Single Membership with Occasional Substitution – Alternatively, the business may hold a single membership and occasionally send a substitute colleague to present a different discipline. This must be:
- Pre-agreed with the Club Chair and Regional Director
- Used sparingly, to avoid confusion and protect the clarity of representation
- Structured so that only one person attends per meeting, even when substitutions occur
It is not permitted for multiple employees of the same company to attend a club meeting at the same time under a single membership.
Supplementary Notes on Category Changes
- Category Review – If a member’s business offering changes significantly, they must seek reapproval from their Regional Director. Category changes are not guaranteed and will be reviewed against potential conflicts (see “Changing Business Focus” in the Exclusivity section). Changes during membership periods will incur admin charges of £25 due to resetting marketing collateral and additional work. If done on renewal periods not additional costs or fees are incurred.
- Cross-promotion and Clarity – Members may discuss personal collaborations or shared ventures with other members privately, but no cross-selling of additional services is allowed during club activities unless those services fall under their registered category.
- Protecting Club Balance – The Club Chair and Regional Director reserve the right to request clarification of a member’s promotional messaging if there are concerns it is straying beyond their agreed remit.
Leadership and Decision-Making
TOP Networking clubs are run with the support of a structured leadership team made up of local club members. This team is responsible for the smooth running of meetings, communication, member engagement, and supporting club growth. They are provided with comprehensive tools, templates, and training via the online resources and systems managed by TOP Networking Head Office.
Once a club is established, it is expected to operate independently with guidance from its local leadership team. As a result, Regional Directors, Area Directors, and Area Coordinators are not required to attend every meeting. However, they remain available to provide support, oversight, and direction as needed.
Authority and Governance
While club leadership teams oversee day-to-day activity, key decisions—especially those relating to the club's structure, category integrity, or venue—must be made with appropriate approval from TOP Networking leadership.
- Venue agreements and negotiations are handled centrally by TOP Networking or the designated Regional Director. No venue changes may be made by a club without prior authorisation.
- Any decisions taken without appropriate sign-off from the Regional Director, Area Director, or Area Coordinator may be reviewed and, if necessary, overturned to ensure alignment with wider network standards.
All major decisions—particularly those involving finance, membership category disputes, or club mergers—must involve direct consultation with the relevant TOP Networking representative.
Selection and Tenure of Club Leadership
The appointment of club leadership roles (including Chair, Host, Timekeeper, Visitor Host, etc.) is the responsibility of the Regional Director, Area Director, or Area Coordinator. These appointments are made based on experience, contribution to the club, and suitability for the role.
There is no fixed term or election cycle for leadership positions. Roles may evolve naturally over time, and TOP Networking provides ongoing guidance and training to ensure effective leadership that benefits the club and its members.
Supplementary Notes
- Collaboration and Accountability – Leadership roles are collaborative and are expected to be carried out with professionalism, integrity, and a strong sense of responsibility to the wider club.
- Support and Succession – Regional Directors provide support to help leaders grow into their roles and, where appropriate, recommend successors to maintain consistency.
- Decision Disputes – In the event of disagreement within a leadership team or between a club and its leadership, the Regional Director’s decision is final and will always be made with the best interests of the club and the wider network in mind.
Member Behaviour – Protecting the Community
At TOP Networking, we are proud of the inclusive, professional, and referral-focused environment we’ve built. To protect this culture, all members are expected to conduct themselves with integrity, professionalism, and respect at all times—both within meetings and in any interactions relating to the network.
TOP Networking reserves the right to take appropriate action, including suspension or termination of membership, if a member’s behaviour is found to undermine the values or stability of the community.
1. Formation of Competing Networks
Members must not use their TOP Networking membership, club relationships, or access to the platform to promote, form, or support any competing networking organisation—whether online or in-person—that targets the same referral-based business networking space.
We welcome collaboration with other organisations and recognise that our members may participate in a variety of professional settings. However, members must not engage in activities that:
- Distract from the success of their own TOP Networking club
- Leverage the TOP Networking community or structure for their own competing network
- Undermine or fragment the local referral and community-building efforts of our clubs
If you are considering a new initiative or partnership, we encourage open discussion with your Regional Director to avoid conflict.
2. Non-Compete Understanding
In joining TOP Networking, members agree in good faith not to establish or actively grow any referral-based networking community, of any format, during their membership or within 12 months of leaving.
This non-compete understanding helps protect the time, energy, and relationships invested in our clubs, and maintains the trust between members.
3. Respectful Communication
All members are expected to communicate with courtesy and professionalism—whether in person, online, or through any digital channel.
Behaviour that is not acceptable includes (but is not limited to):
- Undermining the credibility, role, or reputation of fellow members, Club Chairs, Regional or Area Directors, or TOP Networking as a whole
- Inappropriate, offensive, or discriminatory language or conduct, including comments relating to sex, race, religion, nationality, sexual orientation, or disability
- Negative or disparaging comments about members or the network via email, messaging platforms, or social media channels such as Facebook, LinkedIn, Instagram, or Twitter
Breaches of this kind may result in suspension of membership pending investigation.
4. Termination of Membership
If a serious breach of the Terms & Conditions is identified, TOP Networking reserves the right to terminate membership. Serious breaches include, but are not limited to:
- Repeated disrespectful behaviour
- Promotion of competing organisations
- Disruptive actions that jeopardise the stability or reputation of the club or network
If terminated, the member's profile will be removed from the TOP Networking website, and no refunds will be issued. Reinstatement will only be considered after a full investigation, and only with approval from the network Head Office in consultation with the relevant Regional Director or Franchisees.
Supplementary Notes on Behaviour and Reinstatement
- Opportunity to Return – In cases of suspension or termination, a member may request reinstatement. These requests will be reviewed carefully and may be granted at the discretion of TOP Networking Head Office, provided a formal request is made through the Regional Director or Franchisees.
- Due Process – All complaints and investigations will be handled professionally and confidentially. Members may be invited to respond before final decisions are made.
- Future Conduct – Any reinstated member must agree to specific behavioural expectations going forward and will be subject to close monitoring during a probationary return period.
Membership Fees
Membership in TOP Networking involves a combination of upfront and ongoing costs, designed to fairly support the network’s structure, club resources, and event delivery. All fees are necessary to maintain high-quality meetings, promote members, and ensure the long-term success of each club.
1. Fee Structure
Membership costs are made up of the following three components:
a) One-Off Lock-in Fee
These form part of your first year Membership and are not due in year two memberships and beyond. This is a non-refundable one-time fee, paid only in the first year of joining. It secures your exclusive category seat in the club and allows the team to set up your profile, begin advertising your business, and integrate you into the system. It demonstrates your commitment to the club and is required before membership becomes active. It also pays for first time setup and administration on the setup promotion.
b) Annual Membership or Renewal Fee
This covers 12 months of active membership. It is payable in advance, is non-refundable, and is due upon membership acceptance or renewal. It contributes to the wider running and development of the TOP Networking organisation, including systems, support, and marketing.
c) Meeting Fee(s) (Attendance Fees)
These are paid meeting by meeting in advance of the meeting (or in some cases per event), this fee covers the cost of participating in club meetings. It includes venue hire, staffing, refreshments, and logistical support. Clubs typically meet every two weeks, meaning approximately 25 meetings per year. These fees may also be referred to as meeting fees, breakfast, event, or ticket fees. The TOP Portal requires new members to setup their direct debit from setup. The Direct Debit becomes their TOP Passport and so automatically takes the meeting fees 4 days in advance of each meeting. A member can book out and save paying the meeting fee if their book out 7 days in advance.
D) No member can book out all their meetings in advance to avoid paying meeting fees. If any member does this it risks the safety of the club and the regional director has direct risk for the member’s costs while the meeting fees offer TOP Regional directors no benefit as they carry no profit to TOP as we merely process the costs of the venue. If this is done a member will have conversations and risk removal from network.
2. Payment Terms and Conditions
- All members are required to pay both the Lock-in Fee and Annual Membership Fee in year one.
- A regular monthly payment plan for the Attendance Fee is expected to be set up. Alternative payment arrangements must be discussed and agreed in advance with the club leadership.
Please note: All fees are non-refundable once paid and membership has been accepted.
3. Club Chairs
Members who take on the full role of Club Chair, as defined in the TOP Networking Leadership Manual, will pay the full membership fee on joining. However, their membership will be frozen during their active service as Chair, allowing them to lead without additional renewal costs while they are building and supporting the club community.
4. Formation Clubs and Fee Timing
For new or formation clubs (clubs with fewer than 12 members):
- The One-Off Lock-in Fee secures the member’s seat during the formation period
- The Annual Membership Fee becomes due only when the club reaches 12 active members
- In live clubs, the Annual Membership Fee is due within 14 days of paying the Lock-in Fee
Important:
If a member chooses to leave during the formation phase before their Annual Membership Fee is due, they will still be liable for the full membership cost. An invoice will be issued at the point of resignation.
If a member transfers from a formation club to a live club, the Annual Membership Fee becomes immediately payable upon transfer.
5. Club Reversion to Formation
If a live club drops below 12 members, it may return to “formation” status. In such cases:
- Existing members’ annual memberships will be frozen upon expiry
- Members are asked to commit to the club’s relaunch and agree to a renewal fee when the club returns to 12 or more members
- The frozen period becomes additional time provided free of charge
- Once the club becomes live again, memberships unfreeze, and expired memberships will be invoiced for renewal
6. Late Payment and Debt Recovery
Failure to make any payment in accordance with these terms will result in:
- Interest charged at 8% per year above the Bank of England base rate, in line with the Late Payment of Commercial Debts (Interest) Act 1998
- Recovery of reasonable costs, including legal or debt recovery agency fees, in accordance with section 5A(2A) of the Act
TOP Networking will pursue all unpaid membership fees through its appointed debt recovery agency.
7. Attendance Fee Obligations
Attendance Fees (sometimes referred to as “breakfast fees”) include all venue-related costs, such as food, staffing, heating, and room hire. These costs are incurred whether or not a member chooses to eat or attend.
- You are required to pay the Attendance Fee for each meeting, even if you do not attend
- The fee is calculated on the expected attendance, and your place is included in that count
- Failure to pay attendance fees may result in suspension or removal from the club
- If you confirm attendance and then fail to show up without notice, you may still be charged for that meeting
Charity Seat Membership
TOP Networking proudly supports the inclusion of charities in its business networking clubs. Each club is encouraged to welcome one charity partner, providing a unique opportunity to integrate community causes into the heart of local business conversations.
This partnership model is designed to deliver mutual value: clubs benefit from deeper community engagement, and charities gain consistent visibility, funding support, and access to a strong local business network.
1. Eligibility and Expectations
Each club may host only one charity seat, and selection is made by the Regional Director or Club Leadership Team. Charities must be:
- Officially registered and operating within the UK
- Actively involved in their community
- Able to appoint a consistent representative who attends meetings and engages in club activities
Charities are expected to:
- Attend at least 75% of club meetings
- Lead or support 3–4 charity-driven events per year with the club’s members
- Engage positively and professionally with the club, contributing to its culture and success
- Take a proactive role in promoting the partnership and enhancing the network’s visibility
2. Fee Structure
Charity members are required to contribute the same way as business members, reflecting the importance and value of their seat:
- First Year Membership Fee: £490 + VAT
(Includes exclusive seat and setup of SEO-optimised webpage) - Annual Renewal Fee (Year 2+): £395 + VAT
- Attendance Fee: Average £15 per meeting (covers food, venue hire, staffing, etc.)
All fees must be paid in full and in advance. Charity seats are not free. This ensures equal standing, consistent expectations, and a shared commitment to the club.
3. Recognition and Support
Upon full payment and activation of their membership, each charity receives:
- A £200 cash donation from the club
- An additional £200 donation on renewal
- A promotional ‘big cheque’ presentation, professionally photographed
- Regular social media support and event promotion
- A dedicated SEO-optimised webpage, linking to the charity’s website and social media
- Access to the wider network for fundraising support, training events, and strategy sharing with other charities in the network
These benefits are designed to maximise exposure, drive real results, and deepen engagement with local businesses.
4. Role Within the Club
The charity seat is not passive. While supported by club leadership, charities are expected to take ownership of their presence, including:
- Promoting events and fundraising activities
- Engaging members in meaningful conversations about their cause
- Using the network to build lasting partnerships
The role is not simply promotional—it's about building genuine connections that drive long-term impact.
5. Changes or Resignation
If a charity resigns before the end of their membership term or fails to meet attendance and engagement expectations, the seat may be reassigned. No refunds will be issued for resignation or removal.
Supplementary Notes for charity Seats
- New and Formation Clubs – In newly forming clubs, charity members follow the same process as business members: pay the Lock-in Fee first, with the Annual Membership Fee due once the club reaches 12 members. The £200 donation is issued once full membership is activated.
- No Multiple Seats – A charity cannot hold multiple seats across clubs unless approved by the TOP Networking Head Office.
- No Direct Leadership Requirement – While charities are expected to lead their own initiatives, they are not expected to take on general club leadership roles. Club Chairs and leadership teams are available to assist with planning and promotion.

Refunds Policy
TOP Networking strives to provide a consistent, fair, and transparent approach to membership and fees. This Refunds Policy outlines the circumstances under which a refund may be considered, specifically in relation to formation clubs, and sets out the process for members to follow.
1. Refunds for Clubs in Formation
Refunds may be considered for the One-Off Registration Fee (Lock-in Fee) in clubs that are in their formation stage but have not yet reached full launch (defined as reaching 12 active members).
Eligibility Criteria:
- A refund is only considered if the club fails to officially launch within 9 months from the date of the first meeting attended by the member after their registration fee payment.
- The decision to suspend or close a formation club can only be made by the Regional Director or TOP Networking Head Office.
- Members who qualify for a refund will have the amount returned via cheque, BACS bank transfer, or credit card refund, depending on the original payment method.
Alternative Option:
As an alternative to a refund, the franchisee (club owner) may offer the member a transfer to another active TOP Networking club within their franchise territory, provided a vacancy exists for that member’s business category.
2. Refund Request Window
If a club has not launched within 9 months, the following applies:
- Any member who paid their registration fee and attended their first meeting between 9 and 10 months prior may submit a request for a refund.
- Refund requests must be made during this window. If no request is submitted, it will be assumed the member wishes to continue supporting the club’s formation.
No refunds will be processed for requests made outside this window, unless the Regional Director deems there to be exceptional circumstances.
3. Clubs Reverting to Formation Status
Occasionally, a club may lose members or face unforeseen issues that make its operation temporarily unsustainable. In such cases:
- The club’s status may revert to “In Formation”.
- Members with live memberships will have their membership term frozen, and the remaining duration reinstated when the club returns to active status.
- Any member who joins or transfers into such a club during its re-formation will be subject to the same fee structure and refund conditions as other formation club members.
4. Attendance Requirement for Refund Eligibility
Refunds for the One-Off Registration Fee will only be granted to members who:
- Have attended at least 80% of pre-launch meetings
- Have actively participated in the development of the club
- Are not Area Coordinators (separate policies apply to internal roles)
This is to ensure fairness and acknowledge the commitment of members who actively support their club’s early growth.
Supplementary Notes for Refunds
- Refunds apply only to One-Off Registration Fees. No refunds are issued for Annual Membership Fees or Attendance Fees, unless specified elsewhere in the Terms and Conditions.
- Members considering cancellation should refer to the separate “Cancellation of Membership” section for further terms.
Existing Active Clubs – 'Live Clubs'
TOP Networking’s 'Live Clubs' refer to fully operational clubs with 12 or more active members or reached 12 members during their build. These clubs follow a structured format, are run by a trained leadership team, and are supported by the wider network infrastructure.
1. Non-Refundable Fees
Once a club becomes live:
- All payments made by a member for their One-Off Registration Fee and First-Year Membership Fee are non-refundable under any circumstances.
- This applies regardless of attendance, participation, or changes in personal/business circumstances.
2. Closure of a Live Club
If a decision is made to close a live club (for example, due to sustained low attendance or structural reorganisation), the following conditions apply:
Transfer to Another Club
- The Regional Director or franchisee will attempt to transfer the member to another suitable local club (either live or in formation) within the same license area, while honouring the remaining membership term.
- If the member has less than two months remaining on their current membership, they may be asked to renew their membership, with the remaining time honoured at the end of the renewed term.
Pro-Rata Refund (If Transfer is Not Possible)
If no suitable transfer can be arranged, and the club is officially closed, the member may be eligible for a pro-rata refund, subject to the following:
- Refund excludes the One-Off Registration/Administration Fee
- Refund is adjusted based on meeting attendance:
- Members who attended 80% or more of meetings in the prior 12 months may receive a refund, minus 1/25th of the annual fee for each missed meeting. Member attendance issues is usually the key reason for club failures.
- Any unpaid attendance fees or outstanding invoices will be deducted before issuing any refund
Credits for Dual Club Members
- If a member or company is also active in another TOP Networking club, a credit note will be issued instead of a refund.
- This credit can be applied to their membership at the other club.
3. Role of Leadership and Network Support
TOP Networking clubs are supported by a local leadership team, made up of active club members. This team runs meetings, promotes the club, and supports new members, using tools and training provided by Head Office.
Once a club is launched and stable:
- Ongoing attendance by TOP networking Limited Directors, Regional Directors, Franchisees or Area Coordinators is not required at regular club meetings
- Support is always available as needed, but clubs are expected to operate with local leadership once live
4. Refund Exclusions and Important Notes
- Members who pay the One-Off Registration Fee but fail to complete their full membership by paying the Annual Fee within 14 days of launch will not receive a refund.
- No refund will be given to members who choose not to proceed with their membership after paying the One-Off Fee.
- These terms work in conjunction with those outlined in the "Membership Fees," "Cancellation of Membership," and "Transfers" sections.
5. Termination for Competitive Behaviour
Any member found to be involved in the formation or operation of a competing networking group or organisation—whether in-person or online—will have their membership terminated immediately, and no refund will be issued.
This includes activities that directly conflict with TOP Networking’s values, format, or regional coverage.
Visitors and Guests
Visitors and guests are a valued part of the growth and vibrancy of TOP Networking clubs. Welcoming new professionals allows clubs to grow, build fresh connections, and extend the impact of the local business community.
However, all visitors must meet certain criteria to ensure they align with the club's ethos, values, and structure.
1. How Visitors May Attend
A visitor may attend a TOP Networking meeting through any of the following:
- Booking online via the TOP Networking website
- Booked attendance from Eventbrite or other online agent
- By being invited by a member through the TOP Portal Invites section
- Verbal or emailed Invite from a current member (we will accommodate)
- Introduction arranged by a Regional Director, Club Leader, or external referral partner
All visitors must register in advance. Walk-ins or unregistered attendees may be turned away to protect the structure and integrity of the meeting.
2. Visitor Eligibility and Intent
We ask all members to attempt to invite visitors so they may consider joining. Members are asked to understand the IDEAL Visitor requirements to ensure visitors are prepped ready, will be interested and are likely to find good opportunity in the club.
Visitors must:
- Be actively involved in a business or organisation where membership would bring mutual benefit
- Be genuinely interested in exploring membership at the club they are visiting
TOP Networking is a community of committed professionals. We are focused on building long-term relationships—our culture is made up of ‘farmers’ not ‘hunters’. Therefore, visitors seeking only short-term promotional opportunities without serious interest in joining will not be accepted.
3. Respecting Category Exclusivity
Each club operates with strict category exclusivity, meaning only one member may represent each business category at any given time.
Visitors may only attend if no existing member holds their business category. If a visitor’s business overlaps or potentially crosses over with a member’s category:
- The club leadership must consult with the affected member in advance
- The member has the final say as to whether the visitor may attend
- This ensures fairness and maintains trust within the group
4. If an Overlap Is Discovered Too Late
If a category conflict is discovered after the visitor arrives:
- The visitor will still be welcomed respectfully and allowed to take part in the meeting
- The overlap will be explained clearly and professionally, and the visitor will be asked to avoid direct competition or promotion that may undermine the incumbent member
- Where possible, an alternative club will be suggested for a future visit, assuming the visitor’s category is available there
Supplementary Notes on Visitors and Guests
- Category Clarity – Where there is uncertainty about a visitor’s category, the leadership team should review it with the affected member before confirming attendance.
- Visitor Experience – Every visitor should leave with a positive impression. Even where a conflict exists, they should be treated with respect and offered a constructive next step.
- Follow-Up – Visitors should be followed up promptly after their visit, regardless of outcome, and offered the opportunity to attend another club where appropriate.
Advertising Visitors and Members
TOP Networking is a community-driven organisation that actively promotes its members and visitors through a range of media channels to support local businesses and raise the visibility of its clubs.
By attending any TOP Networking meeting, event, or activity, you consent to being included in promotional materials intended to showcase and celebrate the people and businesses within our network.
1. Use of Images and Media
By participating in a TOP Networking event (in person or online), you agree to the use of:
- Photographs and videos taken during the meeting
- Written quotes, testimonials, or comments shared during the session
- Business names, logos, and individual names used in positive marketing or recap posts
These materials may be used in:
- Social media (e.g. LinkedIn, Facebook, Instagram)
- Printed or digital advertising
- Website content
- Event recaps or newsletters
- Word-of-mouth and internal promotions
The aim is always to positively promote local businesses and raise awareness of the value of networking.
2. Sharing of Contact Information
As part of building a trusted community, attendees' basic business contact details (such as name, business name, website, or email) may be shared with:
- Fellow club members
- Registered visitors of that meeting
- The club leadership team and Regional Directors
This helps facilitate follow-up conversations, business opportunities, and referrals.
3. Opting Out of Promotions
If you do not wish to appear in promotional content:
- You must notify us in advance by emailing your Regional Director or Club Chair
- We will take reasonable steps to exclude your image or information from new materials going forward
- However, we cannot guarantee full removal from content already published or shared, especially on social media or third-party platforms
We will always act with respect and care, but due to the community-led and fast-paced nature of our promotions, complete withdrawal may not always be possible after the fact.
4. Important Consideration
TOP Networking is a platform that thrives on visibility, collaboration, and shared celebration. If you strongly prefer not to be promoted or featured in any materials, this network may not be the right fit for your business needs.
By attending or participating in TOP Networking activities, you are agreeing to be positively promoted across various communication and advertising channels as part of our mission to support and elevate local businesses.

The TOP Networking website and online platform (the TOP Portal) are central to how we promote our members, clubs, and events across the UK. By becoming a member, you agree to the use of your marketable business information to help maximise visibility and professional credibility within the network.
1. Display of Member Information
When you become a member of TOP Networking, you agree that the following may be displayed on our public website and within our marketing materials:
- Business name and description
- Contact phone number and/or email address
- Photographs and headshots
- Company logo
- Meeting attendance and club affiliations
- Social media links and website URLs
This information is used solely for positive promotion and business visibility. Our directory is fully open to the public and is nationally optimised to support networking exposure and search engine discoverability.
Members may log in to the TOP Portal at any time to:
- Add, update, or remove their personal or business details
- Choose to opt out of displaying specific contact information (e.g., hiding a phone number)
- Manage how they are presented on the national directory
When a member leaves the network or is removed, their public profile and all associated data will be automatically deleted from the website.
2. Prohibited Use of Website Content
All website content—including member profiles, images, business data, event listings, venue details, and maps—is the intellectual property of TOP Networking. The following is strictly prohibited:
- Scraping or harvesting data from our website, portal, or club pages
- Copying member information or club listings to use on external websites, directories, or social platforms without written consent
- Republishing, reusing, or reproducing TOP Networking content without approval
We take this policy seriously. Legal action will be taken against any individual, organisation, or website found to be unlawfully using or duplicating TOP Networking data or material.
Supplementary Notes about Website
- Why Visibility Matters – We strongly encourage all members to keep their profiles complete and up to date. The TOP Networking directory is one of the most visible and effective national platforms for business networkers in the UK.
- Data Responsibility – Members are responsible for the accuracy of their data on the platform. Outdated or incorrect contact details may impact visibility and reputation.
Non-Member Terms & Conditions and GDPR Privacy Policy
